How do I test, publish, and manage workflow versions?

Last updated: November 5, 2026

Test, publish, and manage workflow versions so changes are validated before they go live and teammates can understand which version is currently running.

Before you start

  • Build and test the workflow draft from left to right.

  • Replace test recipients, channels, and records before publishing.

  • Confirm connected accounts are appropriate for production.

Steps

  1. Open the workflow draft.

  2. Test the trigger and each step with safe, realistic data.

  3. Review the canvas for missing configuration, incorrect variables, test destinations, and sensitive data.

  4. Click Publish.

  5. Review any validation messages.

  6. Open each highlighted step and complete missing configuration.

  7. Save the corrected steps.

  8. Click Publish again.

  9. Trigger a controlled live event when practical.

  10. Open Runs to confirm the published version completes successfully.

  11. Use Versions to review drafts, published versions, or restore an earlier version when needed.

Tips

  • Create a draft before changing a stable live workflow.

  • Document the intended outcome in the workflow description.

  • Review the first live runs immediately after publishing.

  • Use versions to understand what changed and which version new runs use.

  • Turn off a workflow's status when it should stop receiving new events.

Troubleshooting

  • If publishing fails, open every highlighted step and complete the required configuration.

  • If a live run uses old behavior, confirm which version is published.

  • If runs should stop, turn off the workflow status and confirm no new runs start.

  • If a restored version behaves unexpectedly, review credentials, variables, and connected app access.
