How do I use a message template in an email?

Last updated: November 5, 2026

Use an email message template to insert a saved message into an email draft, personalize it with variables, and send faster.

Before you start

  • Confirm you have an email channel available.

  • Confirm the template you want to use exists and is available to you.

  • Prepare the recipient email address and subject line.

Steps

  1. Open the Inbox.

  2. Select the pencil icon to start a new message.

  3. Select the email channel from the channel dropdown.

  4. Enter the recipient’s email address.

  5. Add a subject line.

  6. Select Templates in the message editor.

  7. Search for or select the template you want to use.

  8. Review the inserted message and confirm variables populated correctly.

  9. Edit the message if needed.

  10. Select Send.

Tips

  • Use templates for common email replies or outreach.

  • Always review variables before sending.

  • If replying inside an existing conversation, add context in the body because you may not be able to edit the subject line.

Troubleshooting

  • If the subject line is missing, start a new message instead of replying inside an existing conversation.

  • If variables do not populate, check the contact data.

  • If the template does not appear, confirm you selected the email channel and have permission to use the template.
